The useful question is not whether a web app is more modern than Excel. It is whether either tool suits the job your team is asking it to do.
Excel remains excellent for modelling, analysis and quick changes made by a small number of confident users. A hosted web app is usually stronger when a spreadsheet has become the place where several people run a repeatable business process. That might be allocating jobs, approving costs, tracking orders or collecting returns from regional teams.
The difference becomes clearer when you look at an ordinary working day rather than a list of software features.
One file or one shared service?
An Excel workbook is a document. Even when it sits in SharePoint or OneDrive, the working model still centres on a file, its sheets and its formulas. Modern co-authoring makes that perfectly workable for many teams.
A hosted web app is a shared service reached through a browser. People sign in and work with the same central data. They do not need to download a master copy, and the organisation does not need to decide whose attachment is current. Hosting, routine updates and an agreed level of support are handled as part of the service.

A web app can guide a record from draft to review and approval, show outstanding work and notify the next person. It can also prevent an approval until required information is present. The point is not automation for its own sake; it is fewer missed handovers.
Understanding what changed
For low-risk work, Excel's version history and a well-managed change log may be enough. Where a process involves prices, personal information or formal approvals, the business may need a clearer answer to who changed a record, when they changed it and what was approved.
A web app can keep that history alongside the record. This supports investigations and internal checks, although it does not guarantee compliance with any particular regulation. The organisation still needs suitable policies, retention rules and oversight.
Making changes and getting support
Excel is fast to adapt. A capable user can add a column or amend a formula immediately, which is particularly valuable while a model is still evolving.
The same freedom can be a weakness in a settled operational process. A small formula change may affect every future calculation without anyone reviewing it. Changes to a web app are normally requested, checked and released in a controlled way. They take longer, but there is a clearer support route when something goes wrong or the process needs to evolve.
The costs are shaped differently
Excel may appear nearly free because the organisation already pays for Microsoft 365. The full cost also includes staff time spent maintaining the workbook, helping users, correcting mistakes and preparing management information.
A hosted web app has a visible build or set-up cost and an ongoing service charge. It may also require training and changes to established routines. A practical way to choose
Look at one business process and gather evidence for a month. Record how many people update it, how often copies conflict, how much time is spent producing reports, which information should be restricted and what happens when the owner is absent. Keep or improve Excel when the work is mainly analysis, users are few, requirements change often or offline access is important. Consider a hosted web app when central data, simultaneous access, role-based permissions, a reliable history and guided handovers are becoming necessary.
